Sp. z o.o. Accounting Services

As a legal entity, a Sp. z o.o. is required to maintain full financial accounting in accordance with the ustawa o rachunkowości (Accounting Act), submit monthly VAT and JPK-V7 declarations, pay CIT advances, and submit financial statements to the KRS (National Court Register). A single missed deadline or an error in the structure of the księgi rachunkowe (accounting books) can result in a fine of 10,000 PLN or more.

We provide accounting services for Sp. z o.o. companies — from company registration to annual financial reporting. We work with a limited number of clients at a time: we do not take on everything indiscriminately, because each company requires real attention, not a conveyor-belt approach. What is included in monthly Sp. z o.o. accounting services

Every month:

  • Processing of primary documents
  • Monthly VAT/JPK-V7 reporting
  • Calculation of CIT advances
  • Payroll processing for employees
  • Monitoring of payment deadlines for ZUS and the Urząd Skarbowy (Tax Office)

Once a year:

  • Preparation of the sprawozdanie finansowe (financial statement)

Outsourcing vs. In-House Accountant: Rates and Service Costs

An in-house accountant in Poland costs between 5,000 and 8,000 PLN per month, factoring in all social contributions, vacation pay, and software expenses (Symfonia, Optima). This totals 70,000–100,000 PLN per year. Outsourcing covers the exact same tasks for 800–2,500 PLN per month, depending on the volume of transactions — these are typical market rates for Sp. z o.o. accounting services.

However, it is not just about the money. A remote accountant through an outsourcing model gives you a whole team rather than a single specialist. The flip side of this solution is having less direct control over the process. Three Solutions That Seem Reasonable — and Why They Fail

Managing accounting yourself using an online service

For a Sp. z o.o., this is legally impossible: the company is required to maintain full bookkeeping, and online tools designed for KPiR are not suitable here. Errors are usually discovered during an audit — at a point when fixing them costs more than the accounting service itself.

Outsourcing accounting at the lowest possible price

The market starts at 300 PLN per month. For this amount, you get basic document processing without any consulting. Formally, your tax declaration is submitted on time, but the company loses out on tax reliefs, misses deductions, and receives no warnings about potential risks. The difference between "bookkeeping is being done" and "bookkeeping works for the business" is fundamental.

Switching to a JDG to simplify accounting

Some entrepreneurs consider JDG as an alternative precisely because of its less stringent accounting requirements. However, JDG entails full personal liability for all obligations. If the only concern is the cost of accounting services, the cost of this solution is disproportionate to the savings. Polish Legislation and Tax Reporting: What Is Important to Know

A few facts that are rarely discussed when choosing accounting support — particularly relevant for foreign companies or non-resident shareholders looking for an accountant for an LLC (Sp. z o.o.) in Poland:

An audit is mandatory when two of three thresholds are exceeded

Assets from EUR 3.125 million, revenue from EUR 6.25 million or staff from 50 people — if any two conditions are met for the previous year, an audit of the sprawozdanie finansowe is mandatory even with a single shareholder.

Violating deadlines for submitting financial statements to the KRS

Carries not only the risk of a fine, but also the risk of compulsory liquidation by decision of the registry court.

Since 2024

A minimalny podatek dochodowy (minimum corporate income tax) is in effect: companies with low profitability pay 10% of the calculated tax base even if they operate at a loss.

Repeated errors in JPK-V7

Following a notice from the Urząd Skarbowy, a repeated error is recorded as a systematic violation — resulting in a fine without prior warning.

When Our Format Is Not a Good Fit

We work with companies that have real business activities: employees, regular transactions, and development plans. If a Sp. z o.o. is registered strictly on paper and does not carry out active operations, that is a different request, and we will tell you so honestly during the initial consultation. Polish law does not provide simplifications for "dormant" companies: the obligation to submit financial and tax reports remains regardless of turnover.
