When Patience Runs Out Faster Than the Reporting Period

The Polish reporting system — KSeF, split payment, obowiązkowy JPK — does not forgive delays. A fine under the KKS can reach up to 720 stawek dziennych, while a block on your rachunku bankowego can paralyze operations within a few hours. The price of an error is measurable. The price of procrastination is too.

The majority of clients who contact us did not plan to change their accounting firm in advance. The decision was made after a specific event: a fine from the Urzędu Skarbowego due to an error in JPK_V7, the accountant being unavailable on the day of submitting the deklaracji VAT, or discrepancies discovered during a reconciliation with ZUS. This is not a coincidence. This is the logical outcome of working with an overburdened firm that lacks quality control.

What Practice Shows

  • Most entrepreneurs decide to leave their accountant in Poland not because of the price — but because of silence in response to an urgent question.
  • Errors in eDeklaracje are not discovered immediately: sometimes it takes 2–3 periods, when the US begins czynności sprawdzające.
  • Switching to a new provider in the middle of the roku podatkowego is technically possible and does not create gaps in accounting — provided that the transfer of files is correctly organized.
  • A lack of access to the klienta system (wFirma, Symfonia, Optima) is the main reason for delays. This can be resolved within 1–2 working days.

How the Transfer of Cases and Documents Takes Place

We request a full package of documents from the previous provider — faktury, wyciągi bankowe, ewidencja środków trwałych, listy płac

We verify the up-to-date status of the rejestrów VAT and ZUS, and restore the history of transactions if necessary

The client does not engage in negotiations with the previous firm. That is our job.

Based on the results of the handover, an acceptance certificate is drawn up, fixing the state of the ksiąg on the transfer date.

This is a document that resolves any questions regarding liability: what happened before us, and what happened after.

The transfer also includes the archive of primary documents — either paper or electronic, depending on how the previous provider maintained the records.

From Our Experience

The owner of a trading company, Sp. z o.o., decided to switch to a different accountant in November, six weeks before the company's closure. The previous company refused to hand over documents, citing an unpaid invoice. We reconstructed 10 months of accounting from bank statements and primary documents, submitted the October JPK_V7 on time, and closed the year without penalties. The transfer took 11 business days. If you need full-fledged accounting for Sp. z o.o. with a properly structured accounting system, that's a separate service with a different logic.

Three Solutions That Seem Logical — and Why They Do Not Work

Mistake 1. "I will wait until the end of the year"

Postponing for 3–6 months means 3–6 months of errors in accounting that will eventually have to be corrected. Each unclosed period is a potential korekta deklaracji and causes unnecessary expenses. Terminating the contract with your current firm is not tied to reporting deadlines.

Mistake 2. "I will hand over the documents myself"

Without the ewidencji VAT, kartotek środków trwałych, and akt osobowych, the new accountant starts working blindly. Requesting documentation on your own without understanding its required components is a standard path toward an incomplete transfer and gaps in the archive.

Mistake 3. "The main thing is to find someone fast"

Choosing a firm based on their response speed without verifying their experience with your specific type of business activity leads to a repetition of the exact same situation in 6–12 months. Changing the accountant for a company should solve the problem, not just delay it.

When Our Outsourcing Format Is Not a Good Fit

We work with a limited number of clients simultaneously — this is a conscious choice. Accounting outsourcing implies a structured interaction: documents are submitted on time, questions are answered, and the contract defines the scope and format of the work. If a company is not ready for this format — it is better to say so at the very start rather than promising the impossible.
