A business incubator includes accounting in its service package. The cost of Sp. z o.o. accounting in an incubator format is 350-500 zł per month for everything, including the preparation of financial statements. No extra charges for additional documents within reason.

According to data from the Ministerstwo Finansów, the standard cost of accounting services for small enterprises in 2026 varies in the range of 250-900 zł depending on the complexity of the activity.

Annual difference: 3,600-9,600 zł with direct registration versus 4,200-6,000 zł through an incubator.

Virtual office: mandatory item or an option?

Every Sp. z o.o. is required to have a registered office address in Poland. A virtual office solves this task for 50-200 zł per month.

The basic package includes the registration of a legal address, receipt of correspondence, and forwarding or scanning of letters. Enhanced packages (150-200 zł/month) add conference rooms and the use of the address for marketing purposes.

Business incubators automatically provide an address as part of the membership. You do not pay separately—it is already included in the main fee. Savings: 600-2,400 zł per year.

ZUS: the main expense item for doing business in Poland

For the first 24 months after registration, you can pay preferential ZUS—approximately 650 zł per month. The condition is that you have not conducted business in Poland for the last 60 months. This benefit is regulated by Article 18a of the Law on the Social Insurance System and is available on the official ZUS portal.

Annual ZUS expenses amount to 7,800 zł with the benefit or 20,400 zł without it.

The problem: template articles of association did not account for business specifics, and support after registration was non-existent.

After six months, it would turn out that the company was running, but the capital structure or distribution of roles required expensive changes. Business incubators appeared as a response to both problems. They automated the registration process and added a service package: a ready address, an accountant, and ZUS consultation.

Modern incubators are not about being cheap, but about the speed of launch and minimizing errors at the start.

When does a business incubator not make sense?

An incubator works against you in three scenarios:

  1. You plan a high turnover from the first month. If your revenue starts at 100,000 zł/month, the standard incubator package ceases to be optimal. Accounting will require individual setup, and typical solutions will start to slow down processes.
  2. You need a specific legal address. Some contractors or licensing authorities require a physical office in a specific district. An incubator's virtual address will not suffice.
  3. You already know the Polish system. If this is not your first company in Poland and you understand the mechanics of ZUS, VAT, and reporting, you are overpaying for services you don't need.

The compromise is obvious: an incubator takes control of administrative processes but takes away flexibility. For a start, this is acceptable. For scaling—it is a bottleneck.

Ignoring reporting deadlines

Many believe that an accountant automatically tracks all deadlines. The accountant prepares the documents, but you must sign and send them.

The Polish tax system is built on electronic notifications. Letters arrive at the address in the e-PUAP system. If you do not check it regularly, you will only learn about a problem when a fine arrives.

Missed a JPK_VAT filing deadline—fine of 500 zł. Forgot about the annual PIT—another 1,000 zł. Over a year, 2,000-3,000 zł in fines can accumulate simply due to ignorance of the calendar. You lose 2-3% of your annual budget on fines that could have been avoided with a simple calendar and process diagnostics.

Wrong choice of taxation system

At the start, you will be offered three options: ryczałt, liniówka (19%), or the general system (9-32%). Most choose ryczałt because it is simpler. Tax liabilities under this regime can be higher than they seem.

For IT consulting, the ryczałt rate is 15% of revenue. Sounds good. But if your expenses are 40% of turnover (equipment, contractors, advertising), you cannot deduct them under ryczałt. You pay tax on the entire income.

With liniówka, you pay 19%, but only on profit. The difference on a turnover of 200,000 zł per year is about 10,000 zł in overpayment. 5-10% of annual turnover flies away into taxes instead of investment in growth.

Lack of a reserve fund for ZUS

ZUS is due every month, regardless of your revenue. The preferential rate of 650 zł seems manageable. But if the revenue is zero for the first three months and there is only 5,000 zł of startup capital in the account, you have already spent 1,950 zł just on ZUS.

ZUS is not deducted automatically. You transfer the money yourself by the 10th of the following month. Forget it—and penalties accrue. Penalties in 2026 are about 8% per annum. On an amount of 650 zł, that’s +4 zł per month.

Over a year, you’ll rack up 50-100 zł in additional losses. You enter the second year with debts to ZUS and a reputational risk—arrears are visible in public databases.

After the first year, the situation changes. Your needs grow: you need an individual tax plan, specific contracts, integration with international systems, and accounting for the depreciation of fixed assets. Typical incubator solutions become cramped.

Transitioning to direct work with an accountant and your own office is logical when monthly turnover consistently exceeds 50,000 zł. Until then, an incubator is a sensible choice. Afterward—it is an unnecessary layer.
