A virtual office in Poland is an address for the official registration of a company without the right of permanent presence on the premises. Polish law allows such a scheme provided that the address is real, accessible for inspection, and the company can receive correspondence.

This is regulated by Article 41 of the Act on Freedom of Economic Activity. There are three options for obtaining a business address: renting a physical office, purchasing a service in a coworking space with a legal address, or registering in a business incubator.

The last option is the cheapest, but not everyone knows about it.

How Much Office Rent in Poland Actually Cost

Classic office rent in Warsaw, Krakow, or Wroclaw costs 500-1,500 PLN for 10-20 square meters per month, a deposit (usually 1-2 monthly rates), utility bills (150-300 PLN), and a contract for at least one year.

Total: at the start, you pay 1,500-3,000 PLN as a one-time fee and 650-1,800 PLN monthly. Over a year, this totals 7,800 to 21,600 PLN, even though you might be working from home or a cafe.

To avoid wasting your start-up budget on empty square footage, it's smart to use a specialized business incubator, which provides a legal registration address at a fraction of the cost of rent. You don't rent an office; you become a resident of the incubator. This gives you the right to use the address in your documents.

Who can become a resident: aspiring entrepreneurs (any form — sp. z o.o., JDG), freelancers, IT specialists, designers, marketers, and relocants. Some incubators require a business plan or a brief description of activities, but this is usually a formality.

Rejections are almost non-existent.

The difference between renting an office (700 PLN) and an incubator (100 PLN) is 600 PLN per month. Over a year, that’s 7,200 PLN. For a freelancer, that’s 2-3 months of work.

You can leave the incubator after a month. The contract is terminated without penalties. Prolongation is not mandatory. The tax office will not have complaints about the address—an incubator is an official organization with a license.

Many incubators offer legal consultations (1-2 hours a month for free), accounting assistance, and marketing workshops. This can save another 500-1,000 PLN per month.

Incubators are oriented toward services and IT. If you need a warehouse or production facility, this is not the option for you.

The main compromise: for the sake of savings, you sacrifice physical presence and, partially, image. But for 80% of startups and freelancers, this is not critical.

Three Traps When Choosing a Legal Address

Registration at a home address without the owner's consent.Many people think: I rent an apartment, so I can use the address. Under Polish law, the owner's written consent is required.

If you don't have it, the tax office may refuse registration or demand an address change in 6-12 months. You will lose time and money on re-registration (300-500 PLN plus a week of downtime).

Choosing the cheapest virtual office without verification.The provider offers a legal address for rent for 50 zlotys. Six months later, it turns out that 200 companies are registered at this address.

The tax office begins inspections. In the worst case, there’s a suspicion of fictitious registration. The price of the error: a fine of up to 5,000 PLN and a blocked account during the investigation.

Ignoring the incubator's terms and conditions.You register but don't read the rules. Three months later, you learn you need to submit a quarterly activity report.

If you don't submit it, the incubator terminates the contract. You are left without an address and pay for re-registration again.

Setting Up a Legal Address: A Five-Point Checklist

  1. Check accreditation. The incubator must be in the PARP registry or have confirmation from the local administration.
  2. Clarify the service list. Is mail forwarding included in the price? Is there access to meeting rooms? How many hours of consultation per month? What maintenance is included?
  3. Study exit conditions. Can the contract be terminated without penalties? What is the notice period?
  4. Look at other residents. Who else works in the incubator? This will give an understanding of the level and opportunities for networking.
  5. Compare prices. 50-150 PLN is the norm. If they ask for 300+ PLN, it's no longer an incubator but a regular virtual office under a different name.
