How to fill out an application for a residence card in 2025?

Many voivodeships have their own special portals or application generators. Let’s take the Masovian voivodeship as an example.

A special InPol portal requires pre-registration before submission. The applicant is obliged to fill out the trc application form and upload the documents he/she intends to bring for submission. The TRC application form 2024 may have some updates compared to previous years.

Step-by-step instruction

Enter the address inpol.mazowieckie.pl select the option 'registration' and fill in all the required fields. The data must be entered by an adult applicant. From the same account, you can submit related cases - i.e. for family members. This process is similar for the karta pobytu application form.

If you have the following software bug (the inscriptions are not displayed), then you should just select the option 'language' (Polish is better, because a Russian translation is not always an adequate one):

After that, you will see a 'registration' button.

We will not have to go into the completion in detail. Everything is typical here. You should fill in carefully, because these data will be inserted into your trc application form Poland then.

Since the portal is not completely developed yet, there may occur data conflicts. For instance, you need to fill in the temporary residence registration form Poland on behalf of your child or spouse, but instead your data are substituted there. Therefore, there is nothing wrong with this, just in the course of filling out the application, you will have to edit the data manually.

In any case, if you do something wrong, the assistant in a Voivodeship will correct your Poland residence permit application during the submission.

Let's move on to creating a new entry:

You choose the basis due to which you are going to legalize. There is practically no difference in filling out the application form. You can only select the reason that cannot be edited and the list of documents to be submitted.

Then comes the actual filling of the application itself. When filling out, you will see a lot of tips. Many drop-down answer options, so you don’t have to think about how to enter the information correctly. If you don’t know which box to tick, you will be prompted what you have filled out incorrectly after the moderation process will have occured.

If you completed the application in small letters, or some indents look ugly, you will be provided with a flawless PDF version to download immediately after the processing, which you should print and bring to the Head Office.

Remember that all items must be filled in, where suggested:

If there was a previous surname before the marriage, for example, do not forget to enter it in the 2nd paragraph.

You should write the name of the father and mother as it is written in their passport. This is not a crucial point, but in the future it may create some difficulties. For example, if you want not only to send them an invitation, but also when making a registration (transcription) of foreign birth certificate.

If you don’t know how to write the place of birth correctly, you better have a look at its transliteration into Polish, for example, on Wikipedia.

If you are a happy owner of a Pole's Card, then keep in mind that your nationality is 'Polak '/ 'Polka'. This applies more to those who will fill out the permanent residence application form.

Here carefully check to insert the address correctly. Adjust the fields if necessary.

In part "C" I, your purpose of stay has already been chosen, so move on to section II.

The completing of this form must be explicated. You are obliged to enter here all the family members (to whom the application is made) who are on the territory of Poland (not necessarily living together). Examples:

  • The applicant is mother. She enters here her child and husband.
  • The applicant is a child (the application is made for him). You should enter here the information about father and mother, brothers and sisters.

The only problem is that there is no option for a child to choose Mother/Father. Therefore, you can put NIE WYBRANO, so you will cross it out and write as it's required directly in voivodeship. Alternatively you may print this page separately from the rest ones and write directly as it should be.

Do not get mixed up about the application for a TRC card and maintenance. If the particular family member is applying for the Residence Card together with you, write YES (TAK). If the above-mentioned family member is at your care, it's also YES (TAK).

You should enter your trips to Poland, preferably all of them. You can indicate the approximate dates if some information is left in the old passport.

The cross is placed like a Latin capital "X".

Information about trips to other countries are filled in the same way.

In paragraph V, you must indicate the source of funding that will correspond to your purpose of legalization. If you are applying for work, then your contract with the employer should be indicated here. If for reunification, then write, for example, "UTRZYMANIE PRZEZ ŻONĘ".

 

If you have both an individual entrepreneurship and an employment contract, then you are not entitled to apply for work! Only on the basis of economic activity, since it has priority over a contract of employment.

In paragraph VI, enter either ZUS (if they pay for it), or the number and name of the insurance if the employer doesn't pay contributions. Remember that it must cover treatment in Poland in the amount of at least 30,000 euros and be valid for at least a year. AXA and Wiener fit.

Then there are questions about the "criminal past". If everything is fine with you, then it should be marked like this:

It remains only to enter the documents that you attach to the deposit. The list is just an example! Everyone will have their own.

Don't worry if you forget to enter anything here. It is only required to enter the essential data. That's all with filling in the deposit.

If you are applying for work, then you still need to fill out Załącznik No. 1. It must be completed by your employer. You can pre-print the template so that you fill it out, and then you transfer the data from it to the current form.

After you have filled in everything and passed the moderation, you will be asked to download your application by clicking the "Pobierz wniosek" button. It must be printed on both sides. No signatures or dates are allowed. This is all you will do in a Voivodeship Office.

If the application is for a child under 13, then you will have to print 1 copy. If older, then two or three, depending on the province. Once you receive the inpol decision signed, you can proceed with the next steps in your residence permit process.

It used to be at 18:00 in the old system, but apparently it's not like that anymore.

Hello, from 6:00 PM to 10:00 PM. There are often days when there are no recordings at all. This is either due to technical issues or the server is heavily overloaded.

Hello! Could you please tell me if I mistakenly indicated a different nationality than Polish when filling out the KSP application, will this most likely result in a KSP denial?

Yes, that's possible. Try sending them the corrected application and attaching a justification. Perhaps this will influence the consideration of the case.
