Business incubator programs and services: what the subscription covers

A fixed monthly subscription covers the administrative side of a freelancer's work:

• Accounting and invoices - bookkeeping, reporting, VAT, issuing invoices to your clients, including foreign ones.
• Taxes - calculating and paying taxes on your income, so you don't have to count them yourself.
• Reviewing and signing contracts - the incubator's lawyer reviews contracts with your clients and signs them on the incubator's side.
• Legal address - the incubator's address in documents and handling of correspondence.
• Personal coordinator - a coordinator on Telegram: issues invoices, helps agree on the contract and answers your work-related questions. Consultations about working through the incubator are included in the subscription.
• Legal income payout - money from clients goes to the incubator's account, and it transfers it to you after deducting the fee and taxes.

It works like a subscription: you pay a fixed amount per month and use the whole block without hiring a separate accountant and lawyer.

The legal side of the incubator closes the freelancer's key question: who owns the result of the work. By default the rights arise with the author, that is, with you. What happens next depends on whose work it is. If you make your own product, the rights stay with you, and it is important that the contract with the incubator does not take them away. If you do work for a client and it goes to the client through the incubator, the economic rights to the result pass under the contract to the client who pays for it, and the incubator only passes them along the chain.

The incubator's accounting takes on bookkeeping, reporting and VAT, including invoices to clients abroad. If the client is a company in the EU, as a rule it accounts for the tax at home (reverse charge), and the invoice is issued without Polish VAT. If the client is a company in the US or the UK, the service is usually outside Polish VAT as well: the place of supply is determined by the client's country. For private customers the rules are different - Polish VAT is usually charged there. The regime depends on the country and on whether the client is a company or an individual; the incubator's accountant determines it and issues the invoice accordingly. Money from clients goes to the incubator's account, and it sends it to you after deducting the fee and taxes. This way you receive income legally and with proper reporting, without opening your own company.

If a client delays payment, the coordinator can contact them on the incubator's behalf and try to settle the matter through a reminder and correspondence. The invoice is issued by the incubator's legal entity, so such a request carries more weight than a freelancer acting alone.

Honestly about the limits: this is help at the level of communication, not court debt recovery, and we do not guarantee the result. That is why keep the contract and all correspondence with the client from the very start - with a signed document and confirmation of the scope of work it is much easier to reach an agreement than on verbal arrangements.

If you need legalization (a residence card, a work permit), the incubator helps with that too. For residents who need legalization there is a separate subscription tier, and the legalization itself is arranged as a separate service. The exact terms and cost depend on your situation - we go over them during a legalization consultation (this consultation is paid, unlike questions about working through the incubator).

So you can choose without disappointment, here honestly about the limits:

• Training courses and webinars - we do not run them; the coordinator answers specific work-related questions, but this is not an educational program.
• Guaranteed debt recovery - we help contact the client and remind them about payment, but we do not guarantee court windykacja (debt recovery) or the return of the money.
• Legalization - this is a separate service with its own pricing, not part of the basic subscription.
